The Role: Office Manager – Ensuring Operational Excellence
We’re seeking a highly organized and proactive Office Manager to oversee all aspects of our New York office’s daily operations. You’ll be the backbone of our physical workspace—ensuring it runs smoothly, efficiently, and aligns with our fast-paced, forward-thinking culture.

Key Responsibilities
- Daily Office Administration: Oversee reception areas, maintain inventory of office supplies and equipment, and ensure a clean, professional environment that reflects OKX’s standards.
- Office Setup & Optimization: Lead the planning and execution of new office configurations or expansions, including space planning, furniture procurement, logistics coordination, and move management.
- Vendor & Facility Management: Build and manage relationships with external vendors for catering, cleaning services, IT support, security, and maintenance. Negotiate contracts and ensure service quality meets expectations.
- Technology Coordination: Partner closely with IT teams to ensure all hardware, software, network access, and communication tools are deployed efficiently for new hires and office upgrades.
- Employee Support & Experience: Serve as a go-to resource for staff inquiries—from workspace issues to event participation—ensuring every team member feels supported and connected.
- Onboarding Assistance: Collaborate with HR to deliver smooth onboarding experiences for new employees, including workspace preparation, equipment setup, and orientation logistics.
- Financial Oversight: Process expense reports, track office budgets, and assist in forecasting annual spending for facilities, events, and supplies.
- Event & Culture Coordination: Plan and execute internal meetings, offsites, team-building activities, and company celebrations that strengthen culture and morale.
